Mid-Iowa Council Policies

PRIVACY POLICY

Your trust and confidence is important to us. The following Mid-Iowa Council (MIC) privacy policy is to protect and secure the personal information you provide to our organization. This policy covers information you provide online as well as information you may provide to us via other offline means.

KEEPING YOU AWARE

MIC provides this policy so that you can be aware of our security practices and the way your personal information is collected and used. Changes to this privacy policy will be sent to the email in your account. You may also remove your name from our mailing lists, if you so choose.

YOUR INFORMATION – WHAT WE COLLECT

Instances in which your information may be collected:

  • If you e-mail us or fill out an online form requesting information or materials from our organization
  • If you subscribe to an online subscription such as an email newsletter or email network.
  • If you make a donation via online, mail, telephone or at an event.

The online information we collect from you may include your name, address, city, state, zip, telephone number(s), email address, and when making a donation, a credit card number and expiration date.

In order to improve and enhance our online services, we may also periodically ask you to provide voluntary information such as testimonials, contact preferences, online suggestions, or information regarding your demographical information.

HOW WE USE YOUR INFORMATION

Your information is used to benefit your involvement in Scouting:

  • Enabling you to complete a transaction online
  • Issuing you an income tax receipt for your donation
  • Updating you on giving and volunteer opportunities

Credit card numbers are only used for processing payments of your donation and/or sponsorship pledges. We also provide you the opportunity to remove your name from our mailing list (please review the corresponding section of this privacy policy below).

HOW WE PROTECT YOUR INFORMATION

MIC will never sell, rent, lease or exchange your personal information with other organizations. The identity of all who contact us through our website is kept confidential. Use of your information is restricted to persons employed or contracted by MIC who agree to abide by our pledge of confidentiality.

MIC makes every effort to ensure the security of your information. To prevent unauthorized access, maintain data accuracy, and ensure the proper use of information, we have established and implemented appropriate physical, electronic, and managerial procedures to safeguard and secure the information we collect online.

MIC uses Internet encryption software, Transport Layer Security (TLS) Protocol when collecting or transferring sensitive data such as credit card information. Any information you enter is encrypted at your browser, sent over the public Internet in encrypted form, then tokenized to permanently remove access to your credit card information in our database.  YOS adheres to the PCI Security Standards.

REMOVING YOUR NAME FROM OUR MAILING LIST

You can be removed from any future communications from our organization or simply reduce the amount of communication you are receiving by calling us at 515-266-2135.

If you determine that information in our database is inaccurate or it has changed, you can modify your personal information by calling us at 515-266-2135.

SECURITY POLICY

When MIC requests confidential information (such as credit card numbers) on our website, we use a certified and encrypted technology called Secure Sockets Layer (SSL). This technology has proven itself over the years to be safe. You will know you’re on a secure page, because the web address will begin with “https://” rather than “http://” You may also receive a message and/or see a lock symbol to let you know you are on a secure page. If you’re not on a secure page, you’ll be notified with an error message.

When you give information on a secure page:

  1. Your information is encrypted at your browser on these safe pages.
  2. It is then sent over the public Internet in encrypted form.
  3. Then tokenized to permanently remove access to your credit card in our database.
  4. MIC adheres to the PCI Security Standards.

DONATIONS REFUND POLICY

All gifts are final and no refunds are provided.

 

REGISTRATION & REFUND POLICY FOR COUNCIL & DISTRICT EVENTS

Our Registration & Refund policy has been crafted to achieve a balance between meeting participant expectations of a quality experience while meeting the fiduciary responsibilities of Mid-Iowa Council.

Our event, activity, and camp budgets are planned to have minimal margins in order to keep the costs within the reach of every Scouting family.  However, almost all events have upfront costs and overhead expenses (site reservation fees, patches, food, program supplies, etc.) that must be secured in advance of the event to meet participant expectations.

Sometimes a pre-paid participant elects not to attend an event.  This could, for example, be due to a family situation or simply a choice to not attend due to the weather forecast.  Either way this doesn’t change the fact that goods and services were purchased on the participant’s behalf in expectation of their attendance.

These guidelines have been approved by the Mid-Iowa Council Executive Board:  

  1. An individual participant or Unit is not considered to be registered for an event until all fees are paid in full.
  2. All payments of fees for District and Council events are non-refundable except under the following conditions:
    1. Serious Illness, must be accompanied by a doctor’s note
    2. Death in family
    3. Special unexpected and extraordinary circumstances
    4. Event is cancelled

In cases where a  refund may be considered, the request must be in writing (email or post), include a copy of the receipt, and be submitted to the Program Secretary within 15 calendar days after the end of the event.  Requests made after 15 days will not be considered. 

In the event a refund is approved, it shall be disbursed in keeping with Mid-Iowa Council policies and procedures for disbursement of funds. In the case of a unit registration, the unit will receive the refund.  All refunds, excluding cancellation, will be less twenty-five percent (25%) of the activity fee to cover liquidated costs incurred in preparation of the activity. 

 

Refund Policy – Summer Camps

Summer Camp Unit Deposit Refund Policy – the reservation deposit is non-refundable.  It cannot be “rolled over” to hold a campsite for the next summer; however, it can be used to help pay total unit fees. 

Cancellations fee: Mitigwa
From April 2nd to June 1st there will be a $100 fee for any Scout or Adult that is cancelled (transfers are allowed)
After June 1st there are no Refunds allowed except per the regular Council Refund Policy

Cancellations fee: Akela
From April 2nd to June 1st there will be a $30 fee for any Scout or Adult that is cancelled (transfers are allowed)
After June 1st there are no Refunds allowed except per the regular Council Refund Policy

 

Refund Policy – Wood Badge

Non-refundable deposit due upon registration.

If you have fully paid for the course and are unable to attend, a refund may be considered. The request must be in writing (email or post) and submitted to Mid-Iowa Council as soon as possible. At the discretion of Mid-Iowa Council, you may be eligible for a partial refund based on course expenses already incurred. All payments of fees are non-refundable, except under the following conditions:

  • Serious illness (doctor’s note is required)
  • Death in family
  • Special unexpected and extraordinary circumstances (circumstances reviewed at the discretion of Mid-Iowa Council)
  • Event is cancelled

If a refund is approved, it shall be disbursed in keeping with Mid-Iowa Council policies and procedures. All refunds, excluding course deposit, will be less twenty-five percent (25%) of the course fee, to cover liquidated costs incurred in preparation of the course. No refunds will be given for cancellations made the day of the event.

Exceptions to this Policy:

Scout Shop Merchandise:  The Scout Shop is owned and operated by the National Council of the Boy Scouts of America, not Mid-Iowa Council.  Please consult the Scout Shop Manager for details regarding their refund policies.

Order of the Arrow Event/Activities:  The Order of the Arrow sets their own refund policies separate from those of Mid-Iowa Council.  Please consult the Lodge Chief and Lodge Adviser for information about their refund policies.

National Events, Activities and Facilities as part of a Mid-Iowa Council Program:  If the event/activity/facility has a maximum participation limit, and there is a waiting list of Council approved participants, then with the consent of the adult volunteer in charge of the Council contingent and the staff advisor, you may “sell” your slot to a pre-approved participant from the official waiting list.

National Events, Activities and Facilities:  Refunds for national events, activities and facilities that you register for directly with the National Council, BSA are between you and the National Council.  The National Council usually publishes an event’s refund policy in that event’s promotional materials.  The refund policy for national events can change dramatically from one event to the next.  Please read and understand that event’s refund policy before paying any fees.

Member Registration Fees:  All Member Registration Fees are sent directly to the National Council.  Member Registration Fees are non-refundable except upon the death of the registered member when the remaining monthly prorated portion of the registration fee will be refunded, if requested in writing with appropriate documentation, from the date of the request through the remaining unexpired registration period.
